iCal Sync

iCal Sync prevents double bookings by synchronizing calendars with Airbnb, Booking.com, and other platforms.

How It Works

Import (External → Stayoa):

• Imports bookings from other platforms
• Automatically blocks dates in Stayoa
• Prevents double bookings

Export (Stayoa → External):

• Shares Stayoa bookings with other platforms
• Other platforms see your Stayoa bookings
• Prevents bookings on occupied dates

Sync Frequency

Automatic:

• Daily at 2:00 AM UTC
• Imports changes from external platforms
• Updates blocked dates

Manual:

• Click Sync Now anytime
• Immediate synchronization

What Gets Synchronized

Import (from external):

• Confirmed bookings
• Blocked dates
• Check-in and check-out dates

Export (to external):

• Stayoa bookings (Status: CONFIRMED)
• Manually blocked dates
• Not imported iCal blocks (prevents sync loop)

Conflict Handling

Overlapping bookings:

• Import blocks can overlap
• Stayoa shows all blocks in calendar
• On booking attempt: Error message

Priority:

• Bookings: Highest priority

• Manual blocks: Medium priority

• iCal Import: Lowest priority

Multiple Calendars

You can add multiple iCal URLs per property:

Example:

• Airbnb iCal URL
• Booking.com iCal URL
• VRBO iCal URL
• Google Calendar URL

All are combined and displayed as blocked dates.

Manage iCal URLs

Add:

• Property → Calendar → iCal Import → Enter URL → Add

Delete:

• Click X icon next to URL
• Confirm deletion
• Blocks from this URL will be deleted on next sync

Edit:

• Delete old URL
• Add new URL

Troubleshooting

Sync fails

Cause: Invalid iCal URL or platform issue

Solution:

• Check iCal URL (must start with http:// or https://)

• Test URL in browser (should download .ics file)

• Generate new URL on platform

• Add new URL in Stayoa

Bookings don't appear

Cause: Sync not yet executed or delayed

Solution:

• Click Sync Now

• Wait 30-60 seconds

• Refresh calendar view

• If still not visible: Check iCal URL

Double booking possible

Cause: Delay between platforms

Solution:

• Sync delay up to 1 hour is normal
• In case of double booking: Manually cancel one booking
• For real-time sync: Use only one platform

Old bookings imported

Cause: iCal feed contains historical data

Solution:

• Stayoa only imports future events
• Old bookings are ignored
• No action required
