Team Management

Manage team members and control access

With Team Management you can invite employees and assign roles.

Roles & Permissions

Stayoa supports 3 roles with different permissions:

Owner (Owner)

Full control: All properties, Team, Billing, Settings

Manager

Can edit but not delete: Edit properties, manage bookings, view analytics/reports

Viewer

View only: Properties, Bookings, Analytics, Reports


Invite Team Member

Create Invitation

  1. Go to SettingsTeam
  2. Click on "Invite Member"
  3. Fill out the form:
    • Email: Member's email address
    • Role: Owner, Manager, Viewer
    • Properties: Select properties (Multi-select)

Send Invitation

  1. Click "Send Invitation"
  2. System generates invitation token (valid 7 days)
  3. Email is sent to member

Member Accepts

  1. Member receives email with link
  2. Clicks on link (incl. token)
  3. If no account: Registration
  4. If account: Directly assigned
  5. Member now sees assigned properties

Property-Specific Access

Each member can have access to multiple properties:

Assignment

  • At Invitation: Select properties
  • Afterwards: Edit invitation or resend

Scope

Members only see:

  • Properties they have access to
  • Bookings for these properties
  • Analytics for these properties
  • Reports for these properties
Property Switcher

Members with multiple properties see a Property Switcher in the dashboard.


Invitation Status

Invitations have different statuses:

Pending

  • Meaning: Email sent, not yet accepted
  • Validity: 7 days
  • Actions: Resend, Cancel

Accepted

  • Meaning: Member has accepted
  • Status: Active
  • Actions: Edit Permissions, Remove

Expired

  • Meaning: 7 days expired, not accepted
  • Actions: Resend

Manage Team Member

Change Permissions

  1. Go to SettingsTeam
  2. Find the member
  3. Click on "Edit"
  4. Change role or properties
  5. Click "Save"

Add/Remove Properties

  1. Click on "Edit"
  2. Multi-select: Select/deselect properties
  3. Click "Save"
  4. Member sees changes immediately

Remove Member

  1. Click on "Remove"
  2. Confirm action
  3. Member loses access immediately
Caution

Removed members cannot be restored. They must be invited again.


Invitation Email

Contains: Invitation, role, properties list, invitation link (valid 7 days) Language: Automatically DE/EN based on owner settings

Activity Log

All team actions are logged (Invitation sent/accepted, Member removed, Permissions changed). View: Settings → Team → Activity Log


Notifications

Manager/Owner: Automatic emails on new bookings, cancellations, payment failed Viewer: No automatic emails (only with explicit activation) Configuration: Settings → Notifications
