If you don't run your properties alone, you can invite other people — a co-host, a cleaning coordinator, an accountant — and give each of them exactly as much access as they need.
You'll find everything under Team in the main sidebar. It's a top-level page, not a settings sub-page.
The Team page is available on the Pro and Premium plans. On Starter you manage your properties on your own.
The three roles
Every person in your workspace has one of three roles.
Property owner (admin)
That's you — the person who created the workspace. The owner role is not something you assign; it belongs to the account that owns the subscription.
Full access to everything: all properties, bookings, payments, calendar, design, analytics, autopilot, workspace settings, billing, and the Team page itself.
Manager
The role for someone who actually runs the day-to-day work on a property.
- Can do: edit property details and content, manage bookings, manage the calendar, upload images, change the design, view and manage payments, view and act on analytics and autopilot suggestions
- Cannot do: invite or remove team members, change billing or the subscription, or change workspace-level settings (they can look at settings, but not change them)
Viewer
Read-only. Ideal for an accountant, an owner's partner, or anyone who only needs visibility.
- Can do: view properties, view bookings, view analytics, view autopilot suggestions, look at settings
- Cannot do: change anything — no edits, no booking actions, no calendar changes, no payment actions
Open Team → Roles & permissions. The table there shows every capability against all three roles, straight from the live permission rules — so it's always accurate, even if this page ever falls behind.
Invite a team member
Open the invite dialog
- Go to Team in the sidebar
- Click Invite
Fill in the details
- Email address — the invitation is sent here
- Role — Manager or Viewer (the owner role can't be handed out)
- Properties — select which of your properties this person should have access to
Send it
The person receives an email with a personal invitation link. The link is valid for 7 days.
They accept
They open the link and — if they don't have an account yet — create one with that email address. Once accepted, the selected properties appear in their dashboard right away. Nothing else in your workspace becomes visible to them.
Invitation status
Invitations that haven't been accepted yet are listed separately under Open invitations.
- Pending — the email has been sent, the person hasn't accepted yet. You can resend or withdraw it.
- Expired — the 7 days have passed. Click Resend to send a fresh link.
An accepted invitation moves the person into your active member list, together with the date they joined.
What a team member sees
Team members only ever see the properties assigned to them — including the bookings, payments, calendar and analytics belonging to those properties. Everything else in your workspace stays invisible to them.
Switching between properties
If someone has access to more than one property, the switcher at the top of the sidebar lets them choose which property they are currently working on. Selecting a property takes them to that property's overview, and from then on every page they open shows that property's data.
As the owner you also have a Global option in the same switcher — that's the view across all your properties at once. Team members don't get that option; they only see their assigned properties.
Team members without their own workspace
Someone who was invited to help you — and who doesn't run their own properties on Stayoa — has no workspace of their own. When they sign in, they land directly on their property list instead of an owner dashboard. That's expected, not an error.
Managing existing members
Change a role
- Go to Team
- Find the person in the member list
- Open the role menu next to their name and pick Manager or Viewer
The change takes effect immediately.
If a member is a Manager on one property and a Viewer on another, their role is shown as mixed. Choosing a role from the menu applies it to all of that person's properties.
Remove a member
Click the ✕ next to their name and confirm. Access is revoked immediately.
A removed member has to be invited again from scratch. Their past activity on your bookings stays intact — only their access is gone.
Export your team list
The Export button downloads a CSV with all members and open invitations — email, status, role, assigned properties, and invitation expiry.
Seats per plan
Each plan comes with a fixed number of team seats. Both active members and open invitations count towards it.
| Plan | Team seats |
|---|---|
| Starter | 1 |
| Pro | 5 |
| Premium | Unlimited |
The Team page shows your current usage at the top. Once the seats are used up, the Invite button is disabled until you remove someone or upgrade.
You can change your plan any time under Settings → Billing.
