Manage Bookings

Overview and management of all bookings

The Bookings Dashboard shows all bookings for your properties.

Bookings Overview

List of All Bookings

The bookings list shows:

  • Property Name: Which accommodation
  • Guest: Guest name
  • Date: Check-in to check-out
  • Status: Pending, Confirmed, Cancelled
  • Amount: Total amount incl. fees
  • Paid: Payment status

Status Filter:

  • All bookings
  • Only Pending (waiting for payment)
  • Only Confirmed (confirmed)
  • Only Cancelled (cancelled)

Search:

  • By guest name
  • By email
  • By booking ID

Sorting:

  • By date (newest first)
  • By property
  • By amount

Booking Status

  • Pending: Waiting for payment (max. 15 min)
  • Confirmed: Payment successful, calendar blocked, emails sent
  • Cancelled: Cancelled, refund based on policy
  • Payment Failed: Payment failed, guest must book again

Booking Details

Click on a booking to see details:

Guest Information

  • Name: First and last name
  • Email: Contact email
  • Phone: Phone number (optional)
  • Access Token: For guest access

Booking Information:

  • Property: Name and link
  • Check-in: Date and time
  • Check-out: Date and time
  • Nights: Number of nights
  • Guests: Number of guests

Price Breakdown

  • Base Price: Base price × nights
  • Weekend Pricing: If applicable
  • Seasonal Pricing: If applicable
  • Discounts: Weekly/Monthly
  • Cleaning Fee: One-time
  • Additional Guests: If applicable
  • Tourist Tax: Per guest/night
  • Total: Total amount

Payment Information

  • Payment Status: Succeeded, Failed, Refunded
  • Payment Method: Card brand (Visa, Mastercard)
  • Last 4 Digits: Card ending
  • Payment Intent ID: Stripe Payment Intent
  • Amount: Amount
  • Currency: CHF, EUR, USD

Cancellation Information

  • Cancellation Policy: Active policy for this booking
  • Cancellation Date: When cancelled
  • Refund Amount: Refunded amount
  • Refund Status: Processing, Succeeded

Actions

Cancel Booking

As host you can cancel a booking:

Initiate Cancellation

  1. Open Booking Details
  2. Click on "Cancel Booking"
  3. Confirm cancellation

Refund Calculation

System automatically calculates:

  • Check cancellation policy
  • Count days until check-in
  • Calculate refund amount
  • Trigger Stripe refund

Notifications

Automatic emails:

  • To guest: Cancellation Confirmation
  • To host: Cancellation Notification
Refund Timeline

Refunds take 5-10 business days to appear on guest account (Stripe standard).

Export Booking Details

  • Click on "Export"
  • Select format: CSV or PDF
  • Download starts automatically

Guest Access

Each confirmed booking receives an access token:

  • Access to booking details
  • Self-service cancellation
  • PDF download, iCal export
  • Messaging with host
  • Valid 90 days after check-out
  • Access: {slug}.stayoa.app/guest/booking/{token}

Email Automation

Automatic emails:

  • Booking Confirmation: On payment success to guest + host
  • Check-in Reminder: 24h before check-in to guest
  • Cancellation Email: On cancellation to guest + host

Analytics & Reports

Key Metrics: Total Bookings, Confirmed Bookings, Booking Revenue, Average Booking Value, Conversion Rate

Reports:

  • Booking Report: Select time period, CSV export
  • Revenue Report: Monthly revenue, trends
  • Occupancy Report: Occupancy rate, property comparison
  • Tax Report: Tourist tax overview for accounting
